Think about the last time you booked anything — a table, a haircut, a delivery slot. You did it on your phone, probably in the evening, and you did not speak to anyone. Your customers book their MOT the same way, or they would if you let them. If the only way to book at your garage is to ring during working hours, you are handing jobs to whoever comes up next on Google.
Where bookings actually come from now
The customer whose MOT is due next week does not think about it at 9am. They think about it at 8pm, on the sofa, with their phone. They search “MOT near me”, open a few garages, and book with the one that lets them pick a time and be done with it. The garage with a phone number and “call us to book” does not get a second look.
That is not a prediction. It is what independent garages with online booking see in their diaries: a meaningful share of bookings arriving outside opening hours, from people who would otherwise have gone elsewhere.
The cost of the phone
Even during the day, the phone is a poor way to take bookings. It rings while everyone is under a car. Whoever answers has to find the diary, find a slot, take the reg down (wrongly), and write it in. The customer gets no confirmation. Nobody reminds them. A proportion do not turn up.
Every missed call is a booking that may not come back. Every booking taken by hand is a chance for a mistake. A proper garage online booking system removes both.
What a proper garage online booking system does
There is a difference between “online booking” and a contact form with a date picker. The real thing does the following:
Shows real availability
The customer sees slots that are actually free — based on your ramps, technicians and opening hours — not a request that someone has to check and confirm the next day.
Offers a service menu with prices
MOT, interim service, full service, diagnostics, tyres. With prices where you want to show them. Customers book more readily when they know what it costs, and you spend less time on the phone quoting the same figure.
Looks up the vehicle from the registration
The customer types their reg; the system fills in the make, model and MOT due date. No typos, and you know exactly what is coming in before it arrives.
Takes a deposit if you want one
For work with parts or a long slot, a small deposit at the point of booking is the single most effective no-show deterrent there is.
Confirms and reminds automatically
Instant confirmation by text and email, a reminder the day before, and an easy way to reschedule. We cover the detail in how to reduce no-shows.
Puts the booking straight into the diary
This is the one that matters most. The booking should appear in your workshop diary, with the customer and vehicle record attached, the moment the customer confirms. Not as an email that someone types in the next morning.
What to avoid
A contact form dressed up as booking
If the customer submits a request and waits for a call back, you have not solved the problem — you have moved it to your inbox. Customers know the difference.
Third-party marketplaces that own the customer
Booking marketplaces will send you work. They will also take a commission, hold the customer's details, and market other garages to that customer next year. Useful for filling gaps; not a substitute for your own booking system on your own website.
Widgets that do not talk to your diary
A booking plugin that emails you is a booking plugin that double-books you. If it does not read and write your real availability, it will cause more problems than the phone did.
Will customers actually use it?
Yes, and faster than you expect — including older customers, who have been booking prescriptions and supermarket deliveries online for years. The ones who prefer to ring will still ring. You are not taking anything away; you are adding the option most people now expect.
Getting started
- Decide what can be booked online. MOTs and services are the obvious start; diagnostics can be “book a slot, we will quote”.
- Set your availability honestly. Overpromising slots is worse than showing fewer.
- Put the “Book online” button where it cannot be missed — on your website, your Google Business Profile and your Facebook page.
- Turn on confirmations and reminders from day one.
- Tell your regulars. A line at the bottom of every invoice and reminder text does the job.
